• Benefits Subject Matter Expert & Advisor: supporting, investigating and securing compliance in Benefit administration
Key Responsibilities:
• Lead and coordinate the development and implementation of processes, policies, tools and guidelines related to legislative changes or improvements within the Benefits area. Specifically:
o Retirement and Pension Plans
o Welfare Benefit Plans
• Documents and maintains all related administrative procedures
• Support and cooperates with stakeholders in the organization to ensure effective benefits Support in the business:
o HRBPs, COE (Center of Expertise) and Legal: implementing process changes, legal updates and transitions of suppliers
o Key Users: vendor integrations and interfaces for accurate data recording and reporting
o Payroll: accurate pay and applicable deductions for employees
o HR Service Center – Poland: secure that all data entry and integrated processes are handled according to the needs of the businesses
• Lead, propose and recommends new approaches, improvements, procedures & solutions to enhance the efficiency of the End-to-End processes
• Consults, participates and supports in strategic projects and initiatives, including giving feedback on global/country requirements
• Perform complex case investigations and resolution of exceptions
• Perform root cause analysis of complex cases when applicable
• Communicate information about applicable HR processes, policies, tools & guidelines in an accurate and effective manner to employees and other parties in the HR Service Delivery model
• Plan and execute training activities & communication sessions for all stakeholders and employees
• Document knowledge solutions in applicable tools. (E.g. Benefit Admin System, case management system, etc.)
• Coordinates and performs recurring audits to ensure integrity of data across systems and related to process
• Participates in vendor selection and relations with suppliers: Serves as a day-to-day contact person for plan custodians, third party administrators & actuaries. Assist in the preparation of the Request for Proposal, and participate in the evaluation of submission of all benefit related contracts. Prepare cost/benefit analysis, and contract(s), etc. Participant in contract negotiation and implementation
• Serves on the Volvo DC & Investment Committee by coordinating quarterly meetings, preparing and distributing meeting minutes, other materials and other functions as needed
Preferred educational and/or training qualifications and certificates:
• University Degree, bachelor a minimum and preferably Masters within the area of Human Resources or equivalent
• Certified Employee Benefits Specialist (CEBS) or Certified Benefits Professional (CBP)
Preferred Experience and Knowledge:
• Minimum 5 years relevant experience in HR – Benefits field
• Experience working in a Shared Services set up in international environment
• Project Management Experience with emphasis on process improvement

• Advanced knowledge of Excel including macros, complex formulas and advanced Pivot tables
• Understanding of relational data base systems and cloud solutions
• Office 360 / MS Office
